VAUGHAN INTERNATIONAL FILM FESTIVAL (VFF) SUBMISSION TERMS AND CONDITIONS:
ELIGIBILITY REQUIREMENTS & GENERAL RULES:
- Films must not exceed 20 minutes runtime
- Films must be produced after January 1, 2024
- Entries must be submitted on filmfreeway.com with a password protected/or private link that is available until the notification date. Films submitted with a public link will not be considered.
- Films can contain any language from any part of the world. Foreign language films must include English subtitles for accessibility purposes.
- VFF considers films that have already premiered at other festivals. Applicants must include the status of the Film’s premiere upon submission to VFF. Applicants are required to update the status of the premiere(s) (World/North American/Canadian) no later than May 1 2025.
- Films are to be wholly original and are not copied from and do not include any other work that is subject of copyright or other protection, unless such work is in the public domain or the submitting parties have obtained any and all consents, releases, licenses, and other authorizations or waivers of any kind necessary for the inclusion or reproduction of any person, character, location, thing, trademark, sound recording, musical composition, or other work in the Film.
- By submitting a film to VFF, the individual or corporation submitting is authorized to commit the film for screening, has submitted with the knowledge and consent of the Producer(s) and/or rights holders listed in their submission forms and understands and accepts all requirements and regulations.
SUBMISSION AGREEMENT:
- Processing fees are non-refundable and are payable by all major credit cards via FilmFreeway
- VFF has the right to, at its sole discretion, to disqualify or reject any films that are not in compliance with VFF’s eligibility requirements
- By submitting their film, the applicant grants Vaughan International Film Festival (VFF) the following rights:
-To use all or part of the film, including but not limited to stills, images, biographical material, names, and likenesses, for promotional purposes. This includes, but is not limited to, use in the festival program, on the VFF website, and on social media platforms.
- To provide copies of the film to journalists for review purposes.
-To screen the film for educational purposes, at press screenings, and during the Festival.
- To exhibit the film at any time before, during, or after the Festival.
- These rights are granted to VFF without further compensation to the applicant.
- Applicant must include public press and marketing materials within the submission (Trailer, Stills, Cast/Crew information, Press Kit)
- Vaughan International Film Festival will use its best efforts to ensure the accuracy of titles and credits are listed in the program/promotions, but shall not be held liable for inadvertent errors or omissions, should they occur.
- Festival programmers and judges shall determine selections and award winners at their sole discretion.
- Vaughan International Film Festival (VFF) reserves the right to adjust the dates and times of film screenings with a minimum of 2 weeks' notice. VFF shall not be liable for any delays or cancellations due to equipment failure, location disruptions, or other circumstances beyond its control.
IF SELECTED:
- Accepted filmmakers will be notified via email. Filmmakers are to confirm their participation by the given deadline otherwise they have a potential to lose their spot in the festival lineup.
- Vaughan International Film Festival does NOT provide any screening fees or any financial compensation for submissions accepted into our international lineup.
- Vaughan International Film Festival does not cover filmmaker’s travel expenses
- Entrants are responsible for delivering their films in ProRes; .mov; High-quality H.264 MP4;, as well as any trailer(s), press stills and press-kit by given deadline.
- If accepted, filmmakers are strongly encouraged to attend the festival
By submitting your film to the Vaughan International Film Festival, you confirm that you hold all necessary rights for the submission and have the legal authority to grant those rights. Submission of a film constitutes an agreement with the Festival Terms and Conditions.
In consideration of your application, you, along with your heirs, executors, administrators, successors, and assigns, hereby waive, release, and discharge indefinitely the Vaughan International Film Festival, its affiliates, related companies, officers, directors, employees, volunteers, sponsors, partners, suppliers, Festival sanctioning bodies, and elected or appointed officials, including all their successors and assigns, from any and all claims, demands, damages, costs, expenses, actions, or causes of action, whether in law or equity, arising from or related to any loss, damage, or injury to your person or property, howsoever caused, that may occur as a result of your participation in the event. You further agree to hold harmless and indemnify the aforementioned parties from and against any and all liabilities, claims, losses, damages, and expenses, including legal fees, that may arise in connection with your participation in the event, including but not limited to claims related to copyright, trademark, credits, publicity, screening, and any loss or damage.
By submitting your film to the Vaughan International Film Festival, you acknowledge that you have read, understood, and accepted all rules, regulations, deadlines and the conditions above.
