By submitting a film to the Flower City Film Festival (“Festival”), the submitter (“Entrant”) agrees to abide by the following Terms & Conditions:

1. General Eligibility

Films must have been completed after October 1, 2024.

Films, with the exception of Music Videos, must not be publicly posted on free platforms such as YouTube, Vimeo, or similar prior to the Festival.

Selected films should not be publicly screened in the Region of Peel between August 1 and October 31.

All genres and formats are eligible.

Non-English films must include English subtitles.

2. Submission Process

Films must be submitted via the official submission platform (FilmFreeway) by the stated deadlines.

Entry fees are non-refundable under any circumstances.

Multiple entries from a single entrant are allowed; each requires a separate submission and fee.

Late submissions may be accepted at the Festival’s sole discretion, which may include additional fees.

Once selected, films may not be withdrawn from the Festival program.

3. Digital Press Kit Requirements

All submissions must include a digital press kit with:

Film synopsis (max 150 words)

Director’s photo and statement (max 100 words)

Full cast and crew list

Film poster (1800 x 2400 px, PNG or JPEG, vertical, no laurels)

High-resolution stills (300 dpi, PNG or JPEG)

Film trailer (Full HD 1920x1080, MP4 or MOV)

Social media handles for the film, cast, and crew

The press kit will be used for Festival marketing, promotion, and public communications.

4. Delivery of Screening Materials

Selected films must provide final screening materials as requested:

Feature Films: DCP via hard drive or approved digital delivery method

All Other Films: Downloadable digital file (Full HD 1920x1080, MP4 or MOV)

Submission copies will not be returned.

Failure to provide screening materials by the requested deadline may result in removal from the Festival program.

5. Selection & Programming

All submissions are reviewed by the Festival programming team and/or appointed jurors.

All selection and programming decisions are final and at the sole discretion of the Festival.

The Festival may slot films into any program or category at its discretion.

Once selected, films may not be withdrawn.

6. Screening & Exhibition Rights

By submitting, the Entrant grants the Festival a non-exclusive right to screen the film during the Festival dates.

Screenings may be in-person, or online, at the Festival’s discretion.

The Festival may use excerpts (up to 2 minutes), stills, and promotional materials for marketing and publicity.

Entrants acknowledge risks associated with online exhibition, including piracy or unauthorized distribution; the Festival cannot guarantee protection against such occurrences.

7. Awards

Jury and Panel decisions are final and binding.

The Festival Panel may award any number of prizes and is under no obligation to award if submissions do not meet required standards.

Cash prizes (where applicable) will be issued following the Festival.

If a recipient is absent, any physical award may be shipped at the recipient’s expense.

8. Rights, Clearances & Representations

The submitter confirms ownership or proper authorization for all content in the film.

Entrants represent that they have obtained consent from all owners, creators, writers, producers, or authorized representatives necessary to submit the film.

The Festival is not responsible for any inclusion of uncleared or unauthorized material.

9. Liability & Indemnification

Entrants release the Festival, its parent organization, affiliates, partners, sponsors, and employees from any liability, claims, demands, or causes of action, including intellectual property claims, personal injury, damage, theft, or loss associated with the Festival or any prize.

Entrants agree to indemnify and hold harmless the Festival and related entities from any claims arising from the submitted work.

The Festival is not liable for technical issues, file corruption, piracy, data loss, or any direct or indirect damages, including loss of profits, revenue, or anticipated savings.

10. General Conditions

The Festival reserves the right to amend, suspend, or cancel the Festival, or revise these Terms & Conditions at any time.

If any provision is held invalid or unenforceable, all other provisions remain in effect.

Participation implies full understanding and acceptance of these Terms & Conditions.

These Terms & Conditions are governed by the laws of Canada and the Province of Ontario, with any disputes subject to the courts of Ontario, Canada.

11. Agreement

By submitting a film, the entrant acknowledges and agrees to:
