ANIDOX:VR 2024

ANIDOX present the 4th ANIDOX:VR Exhibition & Awards – A programme uniquely addressing factual and visual storytelling in emerging media/VR.

The selected ANIDOX:VR works are showcased at NB Gallery (Sankt Mathias Gade 14, 8800 Viborg) as part of the 11th Viborg Animation Festival 09 Sept. – 15 Sep. 2024 Viborg, Denmark.

Events include a seminar with talks, panel discussions and special screenings. The exhibition is free and open for the public between 11.09-15.09.23

GENERAL GUIDELINES

• The ANIDOX:VR Awards competition is open to all original works, immersive and/or interactive VR experiences which can be justified as an animated documentary.

• Submissions are opened to all works completed 2023 -2024.

• A jury made up of a number of international industry professionals from the fields of XR, cinema and the arts will evaluate the experiences that have been selected.

• The jury will award prizes recognizing the best immersive and/or interactive works in the competition, for their contribution to innovative storytelling and production.

• The devices that may be used to watch the experience: HTC Vive , Oculus Rift or Quest 2 and 3. Only playable builds are accepted.

BACKGROUND

Viborg Animation Festival, as well as the ANIDOX:VR Award is produced and organized by The Animation Workshop / VIA University College, Denmark. The Animation Workshop is well known as one of the world’s leading centers for animation training and development within the areas of education, culture, communication and business.

ANIDOX is a platform focused on animated documentary projects: We bring together documentary creatives, directors, producers and animation professionals as well as artists working in cross media, hybrid forms and new technologies; with a focus on collaborative process, matchmaking, reaching audiences and new frameworks. Leading masterclasses, a residency programme, professional training and a production and development scheme; ANIDOX is run by acclaimed practitioners in the field and continues to evolve and advance the genre of documentary animation.

ANIDOX:VR immersive award- A cash award of €1,000

GENERAL TERMS AND CONDITIONS

• Submissions are open from 01.04.24 until 01.07.24 at 11:59pm (CET).
• The ANIDOX:VR Awards competition is open to all original works, immersive and/or interactive VR experiences which can be justified as an animated documentary.
• Submissions are opened to all works completed in 2022 - 2024.
• The devices that may be used to watch the experience: HTC Vive, Oculus (Quest 2, 3 or Rift).
• Only direct download of playable builds are accepted.
• The selected experiences will be shown to the general public, industry professionals, and members of the jury as part of Viborg Animation Festival 09.09.23 – 15.09.24 and as part of these ANIDOX:VR (non commercial) activities.

PRIZES
• A jury made up of a number of international industry professionals from the fields of XR, cinema and the arts will evaluate the experiences that have been selected.
• The jury will award two prizes recognizing the best immersive and/or interactive works in the competition, for their contribution to innovative storytelling and production:
• The Special Prize, with a €1,000 grant.
• The terms of the award are specified by The Animation Workshop.
• The prize will be announced on 13.09.24
• The award will be given to the director / creator of the experience.
• We request that the receivers of the awards will be available for an interview

SUBMISSION
• All submissions to the ANIDOX:VR shall be made through our online entry platform: No other entries shall be taken into consideration.
• Incomplete or incorrect entries shall be considered void.
• Please sign up an account at FilmFreeway and add project on the platform before submission, then follow the guideline to directly upload your work.
• Please fill out the technical form for VR Competition, and provide links for downloading.
• By entering your work, you hereby state that you hold all the related rights to the work, or have been authorized to do so by all the rights holders.
• Submissions shall be made in English.
• The selected works shall be presented in English or in their original language with English or Danish subtitles. The rights holders will bear the costs of subtitling their work, if necessary.
• Works submitted to the competition may not be withdrawn.
• Works submitted to the competition will be included in the Animation workshop VR
library for internal use strictly limited for educational and training purposes.
• We do not accept content deemed racist or sexist by the selection committee.
• Submissions shall be made having read and accepted these rules and regulation.

REQUIRED INFORMATION FOR SUBMISSION
• You will be asked to provide the following information or documents – please attach one PDF file:
o General information: title, year, genre, length, format, device, version, current state of play.
o Synopsis - 500 characters maximum (including spaces).
o Information on the project’s developer or developers, producer or producers (and/or co-producer or co-producers), and creative team.
o Information on the premiere and selection in other festivals.
o 2 HD images, and a video link to a trailer.
o Direct links for download of playable build.
o Please specify the devices that may be used to watch the experience (At this point we only offer HTC Vive and Oculus)
o The required dimensions (when applicable)
o Any technical or logistic information relevant to the presentation of the work (when applicable)

SELECTED WORKS
• Presentation:
Should your experience be selected by the committee, it will be showcased on 11.09.24 – 15.09.24 at Viborg Animation Festival and at related ANIDOX:VR activities. All the activities are non-profit.
• The selection committee shall determine:
o The area or areas in which each experience will be seen.
o The time or times when each experience will be available.
• Installation considerations / specifications shall be discussed with creators.
• Selection announcement:
o The list of selected experiences will be announced by email to the main applicant, and publicly, by the beginning of September.
o The selected projects’ rights holders shall send the completed and signed contract officially establishing their selection to the ANIDOX:VR Award within one week.
• Logos / publicity:
o Should the selected work be awarded a prize, the rights holders for the awarded works agree to include the ANIDOX logo on all promotional and publicity material pertaining to the work (trailer, website, press kit, poster, etc.).
• Press kits / PR materials:
o The information and materials submitted will be used by the ANIDOX communications team. They must be notified of any changes taking place between submission and selection as quickly as possible, and no later than 15.08.24
• Photos / trailer:
o Visuals – HD and not subject to copyright – that were sent along with the submission form will be used by the Festival / ANIDOX team to publicize the selection. ANIDOX / Viborg Animation Festival also reserves the right to reuse them on its various communication channels, for promotional purposes.
o The submitted PR materials must include credits where appropriate
• Invitations:
o The creators the selected work shall receive one invitation the Viborg Animation Festival and which will take place from 09 September to 15 September 2024. Invitations include festival accreditation, travel expenses (within Europe) and accommodations for 3 nights.
o Should other members of the team wish to attend, travel and accommodation costs shall be paid by the developers / producers of the selected works.

PERSONAL DATA

By submitting your project to the 2024 ANIDOX:VR Award, you give consent to the following:
• The inclusion of the work in The Animation Workshop library for internal and educational use only: made available under supervision for university employees and students, for scientific and research and curatorial purposes.
• Our data processing policy, in accordance with the GDPR:
o The Animation Workshop / VIA University College must according to the European General Data Protection Regulation (GDPR) receive your consent if we wish to take and use photos/videos of the persons or work presented at ANIDOX:VR. To include on The Animation Workshop’s website and social media channels, on the ANIDOX website and social media channels, on Viborg Animation Festival’s website and social media channels. To include in written articles as well as digital and analogue print, for marketing and promotion purposes.
o Information about processing of your personal data: If you receive a payment from VIA University College, there will be electronic processing of your personal data. According to the General Data Protecting Regulation (Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC) you have the right to be informed, that the personal data that VIA has collected about you will be handed over to an external party. The purpose of this briefing note is to inform you of the ways in which VIA, the data controller, processes your personal data. The overall purpose of processing your personal data is to enable VIA to meet its obligations in pursuance of the Danish act on university colleges.
o Transfer of your personal data: VIA is obliged to transfer certain data to public authorities such as the Danish tax authority. Furthermore, transfer of data may occur to countries outside of the EU/EEA in connection with the arrangement of your journeys, or your payment of your fee or award to a foreign bank account. The handing over may include the following information: CPR number (or other registration number/date of birth), name, address, gender, year of birth, email address, telephone number, nationality, passport details.

    Great experience! This VR hub has big potential and exhibits the VR-pieces with so much care. The fact that it occurst together with the Viborg Animation Festival also amplifies its greatly!
